Tractable Solutions owns and operates the hockey referee scheduling website, application, and related services referred to in this Privacy Policy as the “Service.”

This Privacy Policy explains how Tractable Solutions collects, uses, stores, protects, and shares information when you visit or use the Service. The Service is designed to help hockey organizations, assignors, referees, officials, scorekeepers, and other registered users manage game assignments, schedules, availability, communications, and related officiating activities.

By using the Service, you acknowledge the practices described in this Privacy Policy.

1. Information We Collect

Information You Provide

When you register for or use the Service, we may collect information such as:

  • First and last name

  • Email address

  • Mobile telephone number

  • Mailing address or general location

  • Username and account credentials

  • Hockey association, league, organization, or officiating group

  • Referee certifications, qualifications, experience, and eligibility

  • Availability and scheduling preferences

  • Assigned games, accepted or declined assignments, and assignment history

We collect and use only the information reasonably necessary to provide and maintain the Service and support hockey officiating and scheduling operations.

3. Text Message Notifications

Registered users may have the option to provide a mobile telephone number and consent to receive SMS or MMS text messages from Tractable Solutions.

Text messages may include:

  • New referee or officiating assignments

  • Assignment confirmations

  • Assignment acceptance or decline notifications

  • Game schedules

  • Game reminders

  • Schedule changes

  • Game cancellations

  • Rink or location changes

  • Requests to fill open assignments

  • Urgent officiating or scheduling notices

  • Account, security, or service-related notifications

Message frequency varies based on the number of games, assignments, schedule changes, and other activity associated with the user’s account. Message and data rates may apply.

Consent to receive text messages is not a condition of creating an account or using portions of the Service that do not require SMS communications.

Users may opt out of text messages at any time by replying STOP to a message. After opting out, the user may receive one final message confirming that the opt-out request has been processed. No additional text messages will be sent unless the user provides renewed consent.

Wireless carriers are not liable for delayed or undelivered messages.

Opting out of text messages does not necessarily deactivate a user’s account. Users who opt out remain responsible for checking the Service, email, or other available communication channels for assignments and schedule changes.

4. Mobile Information and SMS Consent

We do not sell, rent, or share mobile telephone numbers, SMS opt-in information, or SMS consent records with third parties or affiliates for their marketing or promotional purposes.

Mobile information may be provided to service providers that assist us in delivering and administering text messages, including telecommunications and messaging providers such as Twilio. These providers may use the information only to perform services on our behalf and are not authorized to use it for their own marketing purposes.

The categories of information described in this section exclude text-messaging originator opt-in data and consent. Such information will not be shared with third parties or affiliates for marketing or promotional purposes.

5. How We Share Information

We may share personal information in the following circumstances:

Hockey Organizations and Authorized Users

Information may be shared with leagues, associations, assignors, administrators, referees, scorekeepers, rink personnel, and other authorized users when reasonably necessary to schedule games, communicate assignments, confirm qualifications, administer officiating activities, or operate the Service.

For example, an assignor may be able to view a referee’s name, contact information, availability, qualifications, assignments, and assignment history.

Service Providers

We may share information with vendors that provide services on our behalf, such as:

  • Website and application hosting

  • Cloud storage

  • Database management

  • Email delivery

  • SMS and telecommunications services

  • Payment processing

  • Security monitoring

  • Analytics

  • Customer support

  • Software development and maintenance

These service providers may access information only as reasonably necessary to provide contracted services to us and are expected to protect it appropriately.

Business Transfers

Information may be disclosed in connection with a merger, acquisition, financing, sale of assets, reorganization, or similar business transaction. SMS consent and opt-out records may be retained as necessary to document user preferences and compliance with messaging requirements.

No method of transmission over the Internet, wireless network, or electronic storage system is completely secure. Therefore, we cannot guarantee absolute security.

Users are responsible for protecting their account credentials and should promptly notify us if they suspect unauthorized access to their account.

The Service is not intended to collect personal information directly from children under 13 without appropriate authorization.

Some referees or other participants may be minors. When a minor uses the Service, the applicable hockey organization, parent, or legal guardian is responsible for ensuring that the minor’s registration and use of the Service are authorized and comply with applicable requirements.

10. Your Choices and Rights

Depending on your location and applicable law, you may have the right to:

  • Request access to personal information we maintain about you

  • Withdraw consent where processing is based on consent
